INTRODUCTION

Code 3 has established specific Recipient and Donor Eligibility Guidelines that are essential for fostering clarity, transparency, and accountability in the charity's operations. These guidelines help all stakeholders understand the criteria and processes involved in donations and the selection of recipients.


By promoting sustainable outcomes and encouraging a variety of engagement methods from donors and corporate sponsors, the guidelines bolster fundraising initiatives. Furthermore, the focus on measuring impact allows the charity to evaluate its effectiveness and uphold its credibility. Ultimately, these guidelines enhance community involvement and underscore Code 3 Golf's dedication to making a positive impact on children's lives.

GUIDELINES

RECIPIENT & DONOR ELIGIBILITY

  • Eligibility Criteria for the Charity

    • Children: The recipient charity is for children from ages 8-18.
    • Non-profit Status: Code 3 Golf is a registered 501(c)(3) and is a legitimate charity.
    • Local/Global Reach: Southern California is our starting area of reach and may reach out nationally. 
    • Program Relevance: The charity’s programs will align with golf events, training, scholarships, raising funds, etc.
  • Types of Donations or Support Needed

    • General Fundraising: Code 3 Golf is seeking unrestricted levels of donations and will be used for scholarships, tournaments, training, clothing, equipment, etc. 
    • Specific Program Needs: Code 3 Golf may request donations for a specific program or initiative (e.g., specific tournaments, specific children, special needs, etc.  supplies, etc.).
    • Matching Contributions: Code 3 Golf has an opportunity for corporate sponsorships and matching donations. 
    • Corporate Sponsors: Code 3 Golf will be establishing corporate sponsors and professional golfers to promote the charity and promote their respective brand. 
  • Selection Process for Recipients

    • Nomination Process: The charity will nominate by a committee, (3 board members, with possible Corporate input), with Guy Castillo (Chairman) making the final decision.
    • Review of Financial Health: Code # Golf will have annual CPA reviews ensuring the charity has a proven record of transparent financial management and a track record of efficiently using funds for their stated mission.
    • Verification of Purpose: Code 3 Golf funds raised from any events will be able to be traced directly to benefiting children, and recipients, who must provide clear plans along with Code 3 Golf  for how the donation will be used.
  • Transparency and Accountability

    • Regular Updates: Code 3 Golf recipients will provide periodic updates on how the funds are being used (e.g., receipts, detailed fund allocation statements).
    • Tax-Exempt Status Documentation: All recipients must be able to provide documentation verifying their non-profit status, or connection with any other non-profit charities, including a copy of their annual taxes, bank accounts, etc. 
  • Goals and Expected Outcomes

    • Impact Measurement: The recipients should have a clear system for measuring the outcomes of the donations. This will be in the form of a documented plan, school records, parent participation, etc. 
    • Sustainability: The recipients will demonstrate how the donation will lead to sustainable or long-term benefits for the goal/charity amount we provided.
  • Event Participation Guidelines

    • Representatives from the Charity: A Code 3 Golf representative from our charity might be expected to attend the golf event, speak at the event, or promote other donations we received.
    • Marketing and Promotion: Code 3 Golf will be required to participate in event promotions, social media, and branding efforts to increase visibility and awareness of both the event, their partners and their mission.
  • Event-Specific Considerations

    • Fund Allocation: Code 3 Golf will clarify how the funds will be split or allocated—whether it’s an entirely charitable event or if there’s a portion going to event costs or other expenses.
    • Donor Incentives: Code 3 Golf Partners or donors will have marketing incentives or prize giveaways, and these will be tied directly to the children’s cause.
  • Timeline and Deadlines

    • Application/Nomination Deadline: Dates will change constantly for events and promotions and will be clearly stated the date by which charities must apply or be nominated for consideration.
    • Decision Announcement: 30 days prior to any event, recipients will be nominated and announced showing who will be awarded.
    • Funds Distribution: Dates will change for each event in which the funds will be distributed to the recipient after the event, ensuring timely usage.
